3. Risk management

Review new roles against your risk management framework

Evaluate new positions within the organisation against the risk management matrix, ensuring legally required checks are performed and relevant conviction data is collected while remaining compliant with the law.

What does success look like?

  1. Updated risk management matrix with new roles.

  2. Compliance with legally required checks and data collection.

  3. An efficient and legally compliant risk assessment process for new positions.

How would Offploy do it?

  • Ensure that any new roles you create are tested against your risk management framework. See Create a risk management framework based on role categories and required checks

  • Have regard to the role’s level of risk. Is it high, medium or low? This applies to the role and the different risk mitigations you have decided to put into effect. Many general measures (e.g. installing security cameras, or specific working practices) should reduce the level of risk for ANYONE employed in a role. However, if you have done all of this and a role is still deemed to be high risk you will have to consider very carefully whether a candidate with recent or more serious convictions is right for that role. Remember, you still have the right to say “no” if the candidate is not right for the role for any reason. 6. Onboarding and additional support

  • Train staff to understand Basic, Standard and Enhanced (with or without Barring List) DBS checks and when it is appropriate to request each type of check. See: Find out which DBS check is right for your employee - GOV.UK (www.gov.uk)

  • Train staff to understand the importance of confidentiality and the Data Protection Act.  Who has access to DBS information? Where is it stored? Disclosure information is extremely sensitive and personal and should not be stored with routine HR records which may be accessed by many different staff members. Staff must be trained to ensure that this information is stored securely and on a separate system with very limited access.
